Information we collect

About you. This is information you give us when you apply for roles, correspond with us by email or telephone, register online, enter our database, or report a problem with our site. It may include your name and address, email address and telephone number, financial information, right to work information and National Insurance details, date of birth and emergency contact details, job history and qualifications, and (where relevant to a role) health records and DBS information.

Via our website. When you visit consortia.com we may automatically collect technical information such as your IP address, browser type and version, operating system, the pages you view and how you navigate the site, response times, and the length of your visit. We use Vercel Web Analytics and Speed Insights to measure how the site is used and how well it performs; these are privacy-friendly and cookieless, and do not identify you or track you across other websites.

From other sources. We may also receive information about you from other sources, such as a CV you email us, online job boards, referrals from other candidates, the public domain, or professional networks such as LinkedIn. Where we obtain your data from a third party, we will provide you with this notice within 30 days.

How we use your data and our lawful bases

Our main lawful basis for processing personal data is our legitimate business interests as a recruitment agency: introducing candidates to clients and maintaining the database of candidate and client information that this requires. We also rely on the performance of a contract (for example, when we place you or provide services to a client), compliance with legal obligations (for example, identity and right to work checks under the Conduct of Employment Agencies and Employment Businesses Regulations 2003), and your consent for specific uses such as certain marketing. You can withdraw consent at any time by emailing data@consortia.com.

We do not carry out automated decision-making or profiling; a person is always involved in decisions about candidates and roles. We ask that you do not share special category (sensitive) personal data unless it is necessary for a role, and where you do we process it only on a lawful basis such as your explicit consent or our obligations under employment law.

Cookies

Our website uses a small number of cookies to keep the site secure and working correctly. For full details of the cookies we use and how to control them, please see our Cookie Policy.

Sharing your information

We share personal data only as needed to run our recruitment business. This may include sharing candidate details with clients (and client details with candidates) to arrange introductions and interviews, and sharing data with trusted suppliers who support us, such as payroll and other financial providers, compliance partners and IT providers. We may also disclose information where we are required to do so by law, or in connection with the sale or restructuring of our business. We do not sell your personal data.

How long we keep your data

We keep personal data only for as long as necessary for the purposes described above, our legitimate interests, and our legal obligations. In most cases this will be no longer than six years from the last time we provided services to or engaged with you. Specific statutory retention periods we follow include:

  • 12 months as evidence of the recruitment services we provided (Conduct of Employment Agencies and Employment Businesses Regulations 2003)
  • 2 years for right to work checks (Immigration (Restrictions on Employment) Order 2007)
  • 6 years of payroll and tax records (Income Tax (Earnings and Pensions) Act 2003 and Taxes Management Act 1970)
  • Other periods as required by employment, health and safety, and tax law

Storing and securing your data

Your data is stored on secure servers and we use appropriate technical and organisational measures to protect it. No transmission over the internet can be guaranteed completely secure, but we use strict procedures and security features to prevent unauthorised access once we receive your information.

Your rights

Under UK data protection law (the UK GDPR and the Data Protection Act 2018) you have the right to:

  • Access the personal data we hold about you
  • Ask us to correct inaccurate or incomplete data
  • Ask us to erase your data where there is no good reason for us to keep it
